1. Who we are
D.J. NICK SOUND AND VISION GR. OF CO. LTD, trading as Sound and Vision by DJ Nick, is responsible for the personal data described in this policy.
Address: 16N, 16th June 1943, 3022 Limassol, Cyprus
Email: info@soundandvisioncy.com
This policy covers visitors, people requesting information or quotations, and customers purchasing products or arranging rentals and event services through our website and related correspondence.
2. Information we collect
When you contact us or request a quotation, we collect the information you provide, including your first name, surname, email address, phone number, event or rental date, event location, and special notes or messages. Our general contact form also collects your enquiry subject.
For purchases, we collect contact information, billing and delivery addresses, products ordered, amounts, payment status, and correspondence about fulfilment, refunds, and support. Checkout is available without creating a customer account.
Stripe handles online card payments. Payment details are processed through its payment service; our order records include information needed to identify and reconcile transactions. Please do not send card numbers or security codes by email or through enquiry forms.
Operating the website involves technical information such as IP addresses, browser/device information, requested pages, timestamps, and security logs. Additional information may be processed through the cookies and third-party features described below.
Please avoid including sensitive personal information or unnecessary details about other people in special notes. If you provide another person's contact details for an event or delivery, tell them that you have done so and direct them to this policy.
3. Why we use information
We use enquiry, booking, order, and payment information to answer requests, prepare quotations, arrange services, fulfil purchases, and provide support. Our legal basis is taking requested steps towards a contract or performing it. For business representatives, we rely on our legitimate interest in managing business relationships.
We keep required financial records to meet legal obligations. Website security, fraud prevention, and handling claims rely on our legitimate interests in protecting customers and our business, unless a legal obligation applies. Optional tracking and embedded features requiring consent use your consent.
Required fields identify information needed to respond or complete a transaction. Without it, we may be unable to provide the requested service. Optional details are voluntary.
We do not currently send promotional emails, SMS, or WhatsApp messages or upload customer lists for advertising. Any future marketing will require appropriate information and choices.
4. Who receives information
Authorised company personnel use information to handle enquiries, orders, and services. Website services also involve:
- Squarespace: website hosting, forms, online shop, and related technical services. Enquiry forms send submissions to our company email.
- Stripe: payments, transaction security, refunds, and payment disputes. Depending on the activity, Stripe processes information on our behalf or for its own regulatory and payment-related purposes.
- Our email service provider: transmission and storage of customer correspondence.
- Google: embedded Maps and reCAPTCHA, as explained below.
We may disclose relevant records to competent authorities where legally required, or to professional advisers where necessary to address a dispute or legal claim.
5. Cookies, maps, videos, and form protection
Cookies and similar technologies can support security, shopping baskets, preferences, analytics, and advertising. Strictly necessary storage is limited to what is needed to deliver a service you request. Optional storage or access requires prior consent where the law requires it.
Google Maps processes technical information when the embedded map loads, such as your IP address and browser information. We also display videos.
We use Google's reCAPTCHA to help protect forms against automated spam and abuse. It may process IP addresses, browser/device information, and interaction signals used to assess whether a request is automated.
6. International processing
Our providers may process information outside the European Economic Area, including in the United States. Transfers must use an applicable adequacy decision or suitable safeguards, such as the European Commission's standard contractual clauses. Contact us for information about relevant safeguards or a copy, subject to necessary redactions.
Squarespace's current data processing addendum describes its use of the EU–US Data Privacy Framework for covered transfers and standard contractual clauses where applicable.
7. How long we keep information
Unsuccessful enquiries and quotations: our proposed rule is deletion or anonymisation 12 months after the last meaningful contact, unless the enquiry becomes a booking/order or specific records are required for a dispute or legal obligation.
Completed orders, bookings, and financial records: retain the records needed for applicable accounting/tax duties, outstanding contractual obligations, warranties, and relevant legal claims. Different records may have different periods.
Any exception should cover only necessary records for the relevant obligation or unresolved matter, followed by deletion when no longer needed. Backup deletion cycles must also be accounted for in our implemented retention arrangements.
8. Your rights and choices
Depending on the circumstances, you can request access, correction, erasure, restriction, portability, or object to processing. You may withdraw consent at any time without affecting earlier lawful processing. Objecting to legitimate-interest processing is assessed under the applicable rules.
Email info@soundandvisioncy.com to exercise your rights. We normally respond within one month; lawful extensions may apply. We may request proportionate identity verification. Rights are subject to applicable exceptions.
You can complain to the Cyprus Commissioner for Personal Data Protection or another competent supervisory authority. You do not have to contact us first.

We update this policy when our practices or applicable requirements change. The date above identifies the latest version. Where required, we will provide additional notice and obtain consent before a new use requiring it.
